Green Hornets Boys' Basketball League Directors Job Description

LEAGUE DIRECTORS

  1. Registration ends in early October, with late registration thereafter. Late registration always has an adverse effect on our ability to plan.
  2. The Boys' Basketball Registrar will get the registration forms from Jim McCandless and divide them up by League/age group and between Club and Select. We will get to each League Director their forms and the printout of names by age. You will want to cross reference the individual forms with the printout of names since there will be mistakes.
  3. Based on the number of forms, we should have a reasonable assessment of how many kids will be in each age group and how many teams there will be in each. We don't anticipate exceeding the maximum in any age group, though we may not be able to accommodate all of the 7s that want to play with the 8s. There will be additional names joining the pool when Select cuts are made, when cuts are made at the High School, and as late registrations come in. This may be a significant number in any year. At some age groups, you will also lose a few kids that signed up for "Club" that end up making a Select team.
  4. Once you have the forms, you should immediately go through and try to identify enough coaches and assistant coaches to have 1 each per team. Some of the forms will be marked as volunteering to coach. In addition, there are some volunteers that may contact you directly; people without kids in your league that want to coach anyway..
  5. We recommend calling all of the coaching candidates that you have and confirm they will be available to coach. You may find a few who really don't want to coach and had no idea their spouse had signed them up. If you don't have enough coaches, calling those that signed up for assistant coaches and recruiting them to be head coach is always a good place to start. If you are still short coaches at that point, the Club Director or Commissioner may be able to help recommend some names in the age group. The last resort is to start calling everyone who signed up, though I'd be surprised if you had to resort to that.
  6. Once late registration and Select tryouts are over (the first week in November), everyone should have a pretty complete list of their candidates for the club evaluations except for the 13/14 year old League Director who will need to coordinate with the High School JV cuts that come much later (though they generally hope to get that mostly done before Thanksgiving). The next major hurdle is to conduct evaluations and create teams. It is up to you whether or not to conduct a draft or an independent creation of teams. We think at the younger ages (8 and 9-10) the draft doesn't result in even teams because there are so many players and the coaches don't know most of them yet.   7. Once teams are created, they should be distributed to their coaches and the coaches call the players right away. As soon as the first call is made, word spreads to the other kids, and our phones will start ringing from the parents of kids that haven't heard from their coach yet. Encourage them to call immediately. The team rosters should be added to the league’s web site as soon as possible.
  8. Somewhere around when evaluations are being completed, the Schedule Coordinator will get to you the practice and game slots for your league. You will want to allocate the practice slots to the teams and probably have a coaches meeting to hand out equipment, uniforms, and practice slots. At that time, we would recommend that you discuss the league rules and any other issues that need to be addressed with the coaches. The program should have a meeting just before this, where you can pick up the equipment for your league, get your practice schedules, and we can review the questions that you likely be asked by the coaches. If the uniforms/equipment is in before the evaluations, we'll schedule this meeting for the week before evaluations.
  9. You will also want to create a game schedule. It will be up to you whether to start the games before the year-end Holiday break, but it is recommended that you get a game in before the break; you never know what whether-related cancellations may occur as the season wears on so it is best to get games in when you can. Please make sure to not schedule games against the same teams twice if you can. In the 16 team leagues, you will want to break the league into two conferences. Also, please take care not to schedule the same team repeatedly for the first or last game of the day, as there are typically setup or tear down duties associated with those games. There is usually a four day break from Anne Arundel County schools in late January at the end of the second marking period. Many kids are away for this weekend so you will want to consider leaving this weekend open for makeup games or other purposes.
  10. We would like to get a copy of all game schedules and rosters once those are set for a variety of purposes.
  11. Each league will end up having its own "community" web site. You can either maintain the site yourself or get a volunteer web coordinator for your league. We would like the sites to have:
    • Team rosters
    • Practice schedules
    • Game schedules.
    IT IS VERY IMPORTANT THAT THESE ITEMS BE POSTED AND KEPT UP TO DATE. THE FACILITY COORDINATOR WILL REFER TO THIS INFORMATION WHEN NOTIFYING COACHES OF GYM CLOSINGS; THE PICTURE COORDINATOR WILL USE THESE SCHEDULES FOR SCHEDULING PICTURE TIMES, AND THE REFEREE COORDINATOR WILL REFER TO THIS INFORMATION FOR SCHEDULING REFEREES. IF THE INFORMATION IS NOT THERE AND ACCURATE, YOU WILL HAVE PROBLEMS.
  12. Once games begin, each game site will have a box with a Game Ball, scorebook, extension cord as needed, and scoreboard. At the High School, the League Director has the scoreboard and has that taken care of currently. At the Middle School, this year these items will be stored more securely in the janitor's closet. It will be important that the coaches for the first game of the day ask the janitors to leave the closet open so we can return the equipment at the end of the day. At Shipley's, these items will be in the double doored storage room just inside the cafeteria door. At Severna Park Elementary, these items will be in the storage room right off of the gym. These items are to be returned to this location after the last game each day (except at the High School). Do not remove these items from the gym.
  13. For games: the two teams in the first game of the day will be responsible for pulling out the above equipment and setting up folding chairs for the teams and the fans. The last two teams of the day must put everything away. Please stress this to the coaches as many times as needed. For each game, you will need a volunteer scoreboard operator and a volunteer scorekeeper that keeps the score book. We would recommend one from each team. We will have taped scoreboard operating instructions on the scoreboards. All games have to start on time and be completed in under an hour; shorten the break between quarters and halves as necessary to make up time.
  14. Hopefully we will get a volunteer to schedule the referees. There should be two officials for each game in the 11/12 league and above; one in the younger leagues. Hopefully there will be no instances where the refs don't show, but if it happens we would recommend getting a couple of volunteers (2 assistant coaches?)
  15. Please have the coaches report their scores to you or your web designee each week as soon as possible (your choice - but we would like them on the web sites as soon after the weekend as possible).
  16. Reminder that our regular gym times will get interrupted throughout the season. The exceptions will be updated on our web pages at www.greenhornets.com/boysbasketball as soon as they are known. Remember from past years that December is a particularly bad month in this regard.
  17. There will be playoffs in each league scheduled for after the regular season ends. There will be trophies for regular season conference champions, and for 1st and 2nd place finishers in the playoff tournament.
